Your firm controls the system access and remains responsible for providing the appropriate licences and adding new users to the case management system when required.
This means your dedicated OutSec typists can be given their own appropriate user access and can work directly on your firm's matters.

How Does It Work In Practice?
The day-to-day process is designed to be simple.
1. Dictate your work
Your fee earners dictate their work using the dictation equipment or software they already use. Alternatively, they can use the OutSec | Crystal Clara App to record and send their dictation.
2. Our dedicated typist completes the work
The dictation is made available to the dedicated OutSec typist.
Using the secure working environment provided for your firm, the typist accesses your case management system and types the work directly into the relevant matter or case.
This avoids unnecessary duplication. There is no need for your typist to create a document in one system and then have somebody at your firm manually transfer it into your case management system.
3. A List of Completed Work is Uploaded to FileManager.
Once the typing has been completed, the typist uploads a list of the documents they have worked on to our FileManager system.
This provides your fee earners or administrative staff with a clear record of completed work so that documents can be checked, reviewed and sent on as required.

Record your legal dictation files
Record your audio digital dictation files via our OutSec | Crystal Clara app and send the dictation files securely to us. Alternatively, if you use a digital dictaphone, you can upload your digital dictation files via our secure website. You will receive a notification that the file has been uploaded and sent for transcription using our typing service. OutSec Legal can also accept files from Bighand, Dictamen, ODMS & Speechwrite and many other digital dictation recorders & software platforms.
Your legal transcription is undertaken by legal typists or legal secretaries
Your received files will be allocated to one of your two designated legal typists or legal secretaries who will type, edit and format your legal documents as per your instructions on your audio dictation file. Our legal typists can type your legal correspondence and documents directly into case management systems such as Actionstep, Visualfiles, Ochresoft, Intelliworks and many, many more.
Receive your legal transcripts
Once your dictation file has been typed by your legal typist or legal secretary, you will receive a notification that your completed work is ready for collection.
