What is Single Voice Legal Transcription?

Legal transcription is the process of converting digital dictation recordings recorded by a solicitor, a barrister or other legal professional from speech to text by a legal transcriptionist, legal typist or legal secretary who then transcribes the text into digital legal documents and correspondence.

Single voice legal transcription occurs when only one legal professional is speaking on a digital dictation recording.  This differs from multi voice legal transcription where there is more than one speaker. 

Who Processes our Digital Dictation & Produces our Legal Transcripts?

Our single voice transcription service is carried out by our legal transcriptionist team. This team is made up of legal secretaries, legal typists and legal transcriptionists all of whom have worked in the legal sector for at least 10 years or more.  All our legal transcriptionists have been handpicked for their knowledge and expertise.  They are all Microsoft Word experts; have advanced word processing skills including indexing and tables, footnotes and automatic numbering to name but a few.

Many of our team have CILEX qualifications or legal secretarial qualifications.  All our legal transcriptionists understand legal terminology including commonly used Latin terms.

Precedents, Templates, Standard Paragraphs and Documents

With OutSec Legal you are still able to use all your existing legal precedents, standard letters or document templates to ensure consistency is maintained to that which has been previously carried out by your legal practice.  If you have a house style, you just need to provide us with any guidance notes and relevant templates and precedents, as you would with an in-house member of staff.

We do this to ensure that all legal forms used by us are current and up to date; this is to reduce any issues on submission. This, therefore, reduces time and costs for your law firm, as forms do not need to be retyped and then resubmitted.

​Our expert legal transcriptionist team are able to type up and transcribe these legal forms in either Word or PDF format, dependent on what has been provided by UK Gov.  

This means there are no additional costs to your firm in terms of software, meaning that costs for you are further reduced.  However, if legal form software forms part of your case management software, then of course, we will use it as required.

How Our Legal Transcription Service Works

Record your legal dictation files

Record your digital dictation files via our OutSec Connect app (available for iOS, iPadOS & Android) and send your dictation files securely to us. Alternatively, if you use a digital dictaphone, you can upload your files via our secure website. You will receive a notification that the file has been uploaded and sent for transcription. OutSec Legal can also accept files from Bighand, Dictamen, ODMS & Speechwrite and many other digital dictation recorders & software.

Transcription is undertaken by legal typists or legal secretaries

Your file will be allocated to one of two designated legal typists, transcriptionists or secretaries who will type, edit and format your legal documents as per your instructions on your audio dictation file. Our legal typists can type these directly into case management systems such as Actionstep, Visualfiles, Ochresoft, Intelliworks and many more.

Receive your legal transcripts

Once the dictation file has been completed by your legal transcriptionist, legal typist or legal secretary, you will receive a notification that your completed file or files are ready for collection.  

 

You can then download your completed legal correspondence and your legal documents from our secure website.

 

Alternatively, you can collect the files securely from the OutSec Connect app.
