What is the Multi Voice Legal Transcription?

Multi voice transcription is the process of converting digital dictation recordings either in audio or video format containing more than one voice that needs transcribing to enable you to have a transcribed written record of that dialogue.  These recordings could be of partnership meetings, meetings between a client, a lawyer and a barrister, surveillance footage or recordings say of grievance and disciplinary meetings to name but a few.

Zoom Meeting Transcription

What is Zoom?

Zoom is a video conferencing tool that allows users to meet online. Zoom users can choose to record sessions, collaborate on projects, and share or annotate on one another's screens.  Zoom does have an option for meetings to be transcribed by speech-to-text software, however, the quality of these transcripts can be quite low and inaccurate, which is why most legal practices ask us to transcribe these from recordings.

How to Record a Zoom Meeting to Enable it to be Uploaded to Us Securely For Transcription Purposes

In order to record a meeting in Zoom you need to be a host.  If you are not a host, you will need to speak with the host and ask them to record the meeting and send you a copy once the meeting has ended.

How to Download a Zoom Meeting

To download a video or audio recording of a meeting in Zoom, you need to have access to the cloud recording or the local recording of the meeting. If you are the host or have permission from the host, you can access the cloud recording from the Zoom web portal or the Zoom app. You can then select the recording you want to download and click on the Download option. If you are using a local recording, you can find the recording files on your computer in the Zoom folder.

This is the option when you require a concise record of a meeting,  Some examples of where this might be useful include minutes of management team meetings, partnership meetings, board meetings or trustee meetings. Intelligent Verbatim Transcript

This option enables OutSec Legal transcriptionists to take a common-sense approach filtering out words not relevant to the subject matter, such as all “umms”, “ahhs”, laughter and pauses. As a result, an “intelligent “ transcript is provided.. This is the most commonly requested type of multi-voice transcript.

Edited Transcript

This is a full and accurate transcript that has been formalised. Often used by law lecturers or conference organisers it is edited for readability and clarity. In other words, a clear and easy-to-read transcript appropriate for B2B communications and publishing houses (particularly academic reports).

Verbatim Transcript

Verbatim, meaning ‘word for word’, this includes every utterance, cough, pause, umms, ahhs, unfinished sentences, as well as stutters and stammers. In other words, it is a 100% accurate record of what was said.

Transcript with Time Coded or Time Stamped Text

Time stamping or time coding is inserting the time in hours, minutes and seconds into a transcript at specific intervals. It works as a marker of where particular text can be found in digital audio or video recordings.  This can be useful for surveillance recordings, educational or training audio or video recordings, where you may need someone to listen or view a recording whilst reading text from a transcript. Time coding can also be a precursor for subtitling especially if you are thinking of having the subtitles translated.

What is the Difference Between Subtitles and Closed Captions?

Closed captioning helps people with hearing problems understand video content and is intended for times when the entire audio component cannot be heard by the viewer.

This differs from subtitling, whose purpose is to aid those who have trouble with accents when viewing video content or for those who do not understand the audio language.

How to Record a Microsoft Teams Meeting to Enable it to be Uploaded to Us Securely For Transcription Purposes

It is easy to record a Microsoft Teams meeting. 

 

To start recording your meeting, click on the 3 dots of the top right corner and go to "More options" > "Start recording".  

The recording will be saved in "Share Point".
Click on "More options" > "Stop recording" and your meeting recording will be processed and saved.

How to Download a Microsoft Teams Recording

To download a video or audio recording of a meeting in Microsoft Teams, you need to have the appropriate permissions and access to the meeting chat. If you are the meeting organiser or a presenter, you can download the recording from the meeting chat after the meeting ends. To do so, go to the meeting chat in Teams and click on the three dots next to the recording. Then select Download from the menu. The recording will be saved as an MP4 file in your Downloads folder. If you are an attendee, you can only download the recording if the meeting organiser has allowed it. You can check this by clicking on the three dots next to the recording and seeing if Download is available. If not, you will need to contact the meeting organiser and ask them to share the recording with you.

Receive your legal transcripts

Once the dictation file has been completed by your legal transcriptionist. legal typist or legal secretary, you will receive a notification that your completed file or files are ready for collection.  

 

You can then download your completed legal correspondence and your legal documents from our secure website. Alternatively, you can collect the files securely from the OutSec Connect app.
